Xevra LLC ("Xevra," "we," "our," or "us") operates an AI-powered receptionist service for professional services firms at xevra.ai. This Privacy Policy explains what information we collect, how we use it, and what rights you have with respect to your information.

If you have questions about this policy, contact us at hello@xevra.ai.

1. Who This Policy Covers

This policy applies to two groups of people:

If you are calling a law firm, financial advisory, or other professional services business that uses Xevra, you are interacting with our AI receptionist system on behalf of that business. That business — our client — is responsible for its own privacy practices and professional obligations with respect to the information you share with them.

2. Information We Collect

From callers during AI voice interactions:

From website visitors:

We do not collect sensitive personal information such as Social Security numbers, financial account details, or health information. If you share information of this nature during a call, we ask that you refrain from doing so. Xevra is not responsible for sensitive information shared voluntarily during an AI voice interaction.

3. How We Use Your Information

We use the information we collect for the following purposes:

We do not use caller information for marketing purposes. We do not sell your information to any third party.

4. How Your Information Is Stored and Protected

Your information is processed and stored through a set of third-party technology platforms that Xevra uses to deliver its service. These include AI voice processing infrastructure, workflow automation systems, a customer relationship management (CRM) platform, and email and communication services.

We work with reputable technology providers that maintain their own data security practices and, where applicable, comply with industry-standard security frameworks. We implement commercially reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, or loss.

No system is completely secure. We cannot guarantee absolute security and are not responsible for breaches caused by factors outside our reasonable control, including third-party platform vulnerabilities or your own disclosure of information to unauthorized parties.

Information collected through the AI receptionist service is retained for as long as necessary to provide the service and fulfill the purposes described in this policy, or as required by applicable law. You may request deletion of your information at any time as described in Section 6.

5. How We Share Your Information

We share your information only in the following circumstances:

We do not sell, rent, or trade your personal information to any third party for their own marketing or commercial purposes.

6. Your Rights

You have the right to request the following with respect to your personal information:

To submit a request, contact us at hello@xevra.ai. We will respond within thirty (30) days. We may ask you to verify your identity before processing your request.

Xevra's service is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us immediately at hello@xevra.ai.

7. SMS Messaging

Xevra LLC operates an SMS messaging program to deliver appointment confirmations and service-related reminders to individuals who have provided their phone number and consented to receive such messages.

How SMS opt-in is collected. Phone numbers are collected through two methods: (1) directly from callers who interact with the Xevra AI receptionist system and provide their number during an intake call, where consent to receive appointment-related SMS is obtained during the call; and (2) through consent checkboxes on Xevra web forms where the individual explicitly opts in to receive SMS messages.

Types of messages sent. Xevra sends the following types of SMS messages:

Message frequency. Message frequency varies based on appointment activity. Most recipients receive one to three messages per appointment.

SMS opt-in data — no third-party sharing. Xevra does not sell, rent, share, or transfer SMS opt-in data — including phone numbers collected for SMS purposes — to any third party for marketing or promotional purposes. SMS opt-in data is shared only with Xevra's SMS service providers for the sole purpose of delivering messages on Xevra's behalf. These providers are prohibited from using SMS data for any purpose other than message delivery.

No affiliate or third-party marketing. Xevra does not share customer information collected through SMS opt-in with affiliates or third parties for marketing purposes of any kind.

Opting out. You may opt out of Xevra SMS messages at any time by replying STOP or OUT to any message you receive. After opting out, you will receive one final confirmation message and no further messages will be sent.

Rejoining. To resume receiving SMS messages after opting out, reply START to the number from which you received messages, or contact us at hello@xevra.ai.

Help. For assistance with SMS messages, reply HELP to any message or contact us at hello@xevra.ai or (801) 471-0140.

Message and data rates. Message and data rates may apply depending on your mobile carrier and plan. Xevra is not responsible for any charges applied by your carrier.

Carrier liability. Xevra's SMS messaging service is provided in accordance with applicable carrier guidelines and industry standards. Mobile carriers are not liable for delayed or undelivered messages.

8. Cookies and Website Analytics

Our website uses basic analytics tools to understand how visitors use xevra.ai. This may include information such as pages visited, time spent on the site, referring pages, and general geographic region. This data is collected in aggregate and is not used to identify individual visitors.

We do not use advertising cookies or behavioral tracking technologies. We do not build advertising profiles based on your website activity.

Most web browsers allow you to control cookies through browser settings. Disabling cookies may affect the functionality of certain website features.

9. Important Notice Regarding AI-Generated Interactions

Xevra's receptionist service is powered by a generative AI voice agent. This means the agent reasons and responds in real time — it is not a scripted recording. While the agent operates within guidelines established by Xevra and the client firm, its responses are not fully predictable and may not always precisely reflect pre-approved scripts.

Xevra is not responsible for statements made by the AI agent that deviate from approved content, are inaccurate, or produce unintended results. The AI agent does not provide legal, financial, medical, or any other licensed professional advice. Nothing said during an AI receptionist interaction constitutes professional counsel or creates a professional advisory relationship of any kind.

If you have concerns about a specific interaction, contact the professional services firm you were attempting to reach, or contact us at hello@xevra.ai.

10. Governing Law

This Privacy Policy is governed by the laws of the State of Utah. Any disputes arising under this policy shall be resolved in accordance with applicable Utah law.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically. Your continued use of our service or website following any update constitutes your acceptance of the revised policy.
